RANCHASSIST™ ROTATIONAL GRAZING PLANNER
PRIVACY POLICY
Effective date: August 30, 2026
This Privacy Policy explains how the RanchAssist™ Rotational Grazing Planner (the "Planner") handles information when you use the standalone planning tool and its related website pages.
This policy is written for the Rotational Grazing Planner specifically. It should be read together with any broader RanchAssist privacy terms that may apply to the website or deployment through which you access the Planner.
1. PRIVACY MODEL
The Planner is designed around a session-first, user-controlled project model.
The standalone Planner does not require a RanchAssist account in order to perform its core planning functions.
RanchAssist does not require a RanchAssist-hosted project database for the Planner's normal project workflow.
The Planner may use browser session storage to help protect current active-session work from an accidental refresh or same-tab navigation. Session storage is not presented as permanent project storage.
For long-term editable work, the Planner is designed to let you save a RanchAssist .ra Project File to your own device.
2. INFORMATION YOU MAY ENTER
Depending on how you use the Planner, project information may include:
- Project name
- Display-unit preference
- Livestock class
- Head count
- Average animal weight
- Dry-matter intake assumption
- Optional animal-unit equivalent
- Paddock names
- Paddock acreage
- Mapped paddock geometry
- Estimated forage dry matter per acre
- Utilization percentage
- Residual or reserve percentage
- Recovery targets
- Paddock availability status
- Rotation sequence
- Start date
- Scenario adjustments
- Water points
- Gate locations
- Temporary fence lines
- Herd starting location
- Map camera or layer state
- Project notes
This information can reveal operational details about a ranch or livestock enterprise. You should treat exported project files and reports accordingly.
3. ACTIVE SESSION STORAGE
The Planner may use sessionStorage or an equivalent active-session browser mechanism for resilience during the current browser session.
The purpose is to reduce the risk of losing current work due to an accidental refresh or temporary navigation.
The Planner is not intended to use long-term localStorage as a substitute for an explicit project save.
Closing the browser session or clearing browser data may remove active-session recovery data.
4. RANCHASSIST .RA PROJECT FILES
A .ra file is a user-controlled RanchAssist Project File.
When you choose Save Project, the Planner can serialize the editable project state into a local file that you save on your own device.
A .ra file may contain sensitive operational project information such as herd assumptions, paddock names, mapped geometry, notes, schedules, and other planning inputs.
RanchAssist does not automatically receive a .ra file merely because you created or saved it.
You control where you save the file and whether you later share it.
5. OTHER EXPORTS
The Planner may support outputs such as:
- PDF or print reports
- CSV schedules
- PNG map images
- GeoJSON
- Copied text summaries
- Email summaries
These formats may contain project information.
Before sharing an export, review it and confirm that you are comfortable disclosing the included ranch, livestock, map, schedule, or note information.
6. EMAIL SHARING
If you explicitly use the Planner's Email feature in a Google Apps Script deployment, the information needed to send the message may be transmitted to the server-side Apps Script runtime.
This can include:
- Recipient email address
- Message subject
- Rotation-plan summary generated for the email
The Apps Script implementation may use Google's MailApp service to send the email.
Email sharing is an explicit user action. The Planner should not silently email project data.
Once an email is sent, its handling can also be subject to the recipient's email provider and applicable Google account or Workspace policies.
7. MAP SERVICES
The Planner may use Mapbox for browser-based map rendering, satellite imagery, place search, and mapping interactions.
Mapbox may receive technical requests that are necessary to provide map content and search functionality. Those requests may include information customarily transmitted when a browser requests a third-party service, such as network and browser information and the geographic area being viewed or searched.
Use of Mapbox is also subject to Mapbox's own terms and privacy practices.
The Planner's Mapbox access token is application configuration. End users are not expected to provide a Mapbox token.
8. GEOLOCATION
If you choose to use a browser geolocation feature, your browser or device may request permission to determine your location.
Location permission is controlled through your browser or operating system.
The Planner should only use geolocation after the relevant browser/device permission is granted.
9. APPLICATION CONFIGURATION AND CREDENTIALS
RanchAssist users should never be asked to enter developer credentials for normal Planner use.
Application configuration such as a Mapbox browser access token is managed by the deployment administrator.
Private API keys, secret tokens, passwords, and similar credentials should not be stored in:
- User project state
- Browser session storage
- .ra project files
- CSV exports
- PDF reports
- PNG exports
- GeoJSON exports
- Email summaries
- URLs
The Planner is designed to expose only approved browser-safe configuration to the frontend.
10. COOKIES
The core Planner workflow is not designed to require cookies for persistent RanchAssist project storage.
The website, browser, Google Apps Script hosting environment, or third-party services may nevertheless use cookies or similar technologies for their own operational, security, analytics, or service-delivery purposes.
Where applicable, those technologies are governed by the policies of the relevant service and any broader RanchAssist website privacy notice.
11. ANALYTICS
The source materials for this Planner do not specify a required analytics platform.
If RanchAssist later enables analytics on the public website or Planner deployment, this Privacy Policy should be updated to describe the analytics provider, the information collected, and the applicable choices.
12. ACCOUNT DATA
The standalone Rotational Grazing Planner does not require a RanchAssist account for its core workflow.
If RanchAssist later introduces optional account, billing, subscription, or connected-service functionality, the applicable privacy notice should be updated before those features are treated as part of this policy.
13. DATA RETENTION
Active-session project information:
Generally remains subject to the browser session and browser controls.
.ra project files and exports:
Remain under the user's control on the user's device or wherever the user chooses to copy, upload, print, email, or store them.
Email sharing:
A sent email may remain in the sender's and recipient's email systems according to those systems' retention rules.
Third-party services:
Map or hosting providers may retain service-related data according to their own policies.
14. CLEAR SESSION / START OVER
The Planner provides a Clear Session or Start Over function for current project data.
Clearing the active session is intended to remove the current unsaved project state from the Planner's browser session.
It does not delete .ra files, PDFs, CSVs, PNGs, GeoJSON files, or other exports already saved outside the active browser session.
15. SECURITY
RanchAssist aims to separate user project data from application credentials and to keep private credentials out of browser-visible project state and exports.
No browser application, local file, email, or internet transmission can be guaranteed completely secure.
You are responsible for protecting:
- Your device
- Your saved .ra project files
- Your exports
- Your email account
- Any storage location where you place project data
16. CHILDREN
The Rotational Grazing Planner is a ranch planning utility and is not designed as a service directed to children.
17. THIRD-PARTY SERVICES AND LINKS
The Planner or related website may link to or depend on third-party services.
RanchAssist is not responsible for the privacy practices of a third party. Review the third party's own privacy terms before providing information to that service.
18. CHANGES TO THIS POLICY
RanchAssist may update this Privacy Policy as the Planner, website, hosting model, or integrations change.
The effective date at the top of the policy should be updated when material revisions are published.
19. CONTACT
For privacy questions about the Rotational Grazing Planner, use the Contact & Help channel provided on the RanchAssist website or the website through which you accessed the Planner.
When contacting support, do not send passwords, API keys, Mapbox tokens, private credentials, or other secrets.
If you share a .ra file for troubleshooting, understand that the file may contain ranch, herd, map, schedule, and note information.
20. SUMMARY
The Rotational Grazing Planner is designed to keep the normal project workflow session-first and user-controlled.
The key model is:
Active work:
Browser session recovery.
Long-term editable work:
A user-saved .ra project file.
Reports and interoperability:
PDF, Print, CSV, PNG, GeoJSON, Copy Summary, and Email.
Application credentials:
Configured by the deployment administrator and kept separate from user project files and normal exports.
